Recurring templates—how it works
Recurring Templates are available as a Plus feature.
QuickBooks Online makes the accounting tasks you already do faster and easier. If you have transactions that occur often, recurring templates can save time and prevent data entry errors. You can create a recurring template for just about every type of transaction, such as invoices or checks. You can also set up recurring templates for other users in your company to use.
Using Recurring Templates
When you save a recurring template, you don't immediately create a real transaction that affects your books. Instead, you're saving a draft of the data plus a schedule for creating real transactions.
There are three types of recurring templates:
- Scheduled templates create transactions automatically under the daily, weekly, monthly, or yearly schedule you set. These are useful for transactions with amounts that don't change, such as loan payments.
- Reminder templates create transactions that appear on a Reminder List when they are due to be created. Then, you can make additional changes to the transactions or create them as is. You can use these to pay your utility bills, for example, because the amount varies each month.
- Unscheduled templates are simply saved with partial or complete data and without a schedule. Nothing happens to this type of template until you choose to use it. An example is a complicated invoice that you send occasionally to different customers.
